Wow, this session delivered a deep and practical look at what the AI-powered workplace truly is. Led by Michel Bouman, AI-powered Workplace Lead for EMEA, India, and SEA at Microsoft, alongside Jimmy Vaughan, Senior Partner Enablement Program Manager at Microsoft, the discussion went far beyond buzzwords and into how AI is reshaping how we work, meet, and connect. 

Rethinking Flexible Work: The Reality Behind the Numbers 

The session opened with some surprising statistics that highlighted why the AI-powered workplace matters more than ever: 

  • 38% of hybrid employees say their biggest challenge is knowing when and why to come into the office 
  • Only 51% of employees feel their organization’s office space actually makes them want to visit 
  • 62% of global office space remains under-utilized 

These numbers set the stage for why organizations need to rethink how physical spaces, technology, and people come together. 

The Three Pillars of the AI-Powered Workplace 

Michel and Jimmy framed the AI-powered workplace around three core pillars. 

1. Coordinate Productively: Making the Office Work for People

The first pillar focused on improving how people coordinate and connect when they’re in the office. 

Participants learned how AI-powered tools can help teams: 

  • Streamline space booking and coordinate more effectively with colleagues 
  • Find the right meeting room for the size and audience 

Simple but impactful examples illustrated the value here—like avoiding a 30-person meeting room being booked for one person, or a 7-person room being squeezed by ten. 

The session also highlighted how features like @nearby in Teams help people find each other quickly in the office—so you don’t miss a birthday cake happening on the 4th floor. 

Beyond convenience, this pillar emphasized: 

  • Better return on investment for facility expenditures 
  • Helping people feel more connected when they come into the office 

2. Modernize Intelligently: Creating Workspaces That Add Value 

The second pillar focused on modernizing workspaces to generate real value. 

A key theme was the importance of having the right equipment in place. Leveraging Teams Rooms systems was shown to be highly effective in driving AI-powered productivity. In one example, a room converted from a bring your own device setup to a Teams Room experienced a massive increase in bookings. 

Other capabilities discussed included: 

  • Speaker recognition in Teams Rooms, which identifies voices and ensures people are heard and recognized for their contributions 
  • Supporting Copilot’s ability to reason over meeting transcription 
  • AI-enhanced Teams Rooms cameras that bridge the gap between remote and in-person attendees 

Features like IntelliFrame, which identifies individuals in the room and creates a separate frame for each person, were highlighted for improving inclusivity and helping remote attendees stay focused on the meeting. 

The session also covered AI-powered real-time notes in Teams Rooms, allowing participants to focus on the discussion, walk away with clear takeaways, and reduce the need for third-party, consumer-grade AI note-taking tools. 

3. Optimize Proactively: Using Insights to Improve Continuously 

The final pillar centered on proactive optimization through AI-driven insights. 

Using tools like Teams Rooms Pro Management, organizations can: 

  • Gain visibility into space analytics 
  • Proactively manage device health 
  • Respond to alerts and usage trends 

This pillar emphasized using insights not just to react, but to continuously improve how spaces and technology are used.
